Send pages for review
By the end you will have sent a set of frozen pages to your reviewers and have their answers coming back to you, page by page and person by person.
Before you start: freeze the pages you want reviewed into one flow. A flow is the set of pages a review covers. See Capture a page.
Send it
- Open the flow and click Share. Send for review is at the top.
- Type your reviewers' email addresses. Commas, spaces or new lines between them all work, up to 50 at a time.
- Optional: add a note saying what to look at and what you need back.
- Optional: pick a Due date. Tick Close the review then to close it automatically on that day.
- Optional: under Final say, type the email of the one reviewer who signs off at the end. They have to be on the list. You can also name them later.
- Click Send for review.
Each person gets one email with a Start reviewing button. Nobody needs an account or anything installed.
To add people later, open Share again, add their emails and click Update and send. Only the new people get an email.
What your reviewers see
The button in the email opens a short brief: your note, the due date, and the pages. From there they open each page and click anything on it to leave a comment. On a phone they tap Comment first.
When they are done they click Finish review and choose Approve or Request changes, with an optional note. You get an email with their answer. They can change it until you close the review.
Follow the answers
The Reviewers panel on the flow page lists everyone you sent it to:
| Status | Means |
|---|---|
| Not opened | They have not opened it yet. |
| Opened | They have looked, and not answered. |
| Approved | They answered Approve. |
| Changes requested | They answered Request changes. |
Each row also shows how many pages they opened and links to their comments. Remind sends one reminder, at most once a day per person. The day before the due date, anyone who has not answered gets a reminder automatically, and on the day you get a summary.
Close it
Click Close review when the feedback is in. After that, only you and the people who run the review with you can add to it. Reviewers see that it has closed. Reopen opens it again.
Closing is also what lets you send decisions for sign-off. See Decisions and sign-off.
Who can open the link
Under General access in Share, two settings decide what someone holding the link can do:
- Who: Only invited people, Anyone signed in, or Anyone with the link.
- What: Can view, Can comment (reply to existing comments), or Can pin (leave new comments).
A person you invited by email always gets at least their own role, whatever the link allows. Pages are never listed in search engines. Reset link issues new links, and everyone holding the old ones loses access.
